Job Description

Key Responsibilities:

• Serve as the central point of contact and SME for Phone System and A/V migration projects.
• Provide analytical and operational support to the ITS Project Director and, Project Manager.
• Develop and manage project schedules, deadlines, installations, and milestone tracking.
• Ensure quality, scope, and change management protocols are in place and followed.
• Oversee project-related functions and support decision-making with data-driven insights.
• Coordinate site visits and facilitate requirement gathering sessions.
• Draft meeting agendas and prepare/distribute meeting minutes.
• Identify project risks and create contingency plans.
• Develop and manage internal/external communication strategies.
• Report on project status, risks, and mitigation plans to maintain schedule adherence.
• Maintain comprehensive system documentation and records.
• Develop and implement end-user communication plans.

Required Skills and Qualifications:

• Proven experience coordinating infrastructure migration projects, particularly Phone System and A/V technologies.
• Strong understanding of stakeholder engagement and vendor management best practices.
• Advanced skills in Microsoft Office Suite (Excel, Word, PowerPoint, Teams, SharePoint).
• Proficiency with Project Management tools such as MS Project, Asana, or equivalent.
• Demonstrated success in documenting project requirements and managing scope.
• Exceptional organisational, communication, and problem-solving skills.
